Abstract:
Erasmus+ KA2 projects, Horizon Europe grants, and Forward-Looking Projects are among the most demanding documents in European education funding: they require precise alignment with programme priorities, tight internal logic between objectives, work packages and outcomes, and a level of institutional credibility that takes years to build. In practice, many eligible institutions fail not because their project ideas are weak, but because the writing process itself is poorly structured and under-resourced.

AI tools offer a genuine opportunity to change this — not by replacing the human author, but by acting as an intelligent sparring partner throughout the process. The ideas, the vision, and the institutional voice remain entirely with the applicant; AI accelerates analysis, sharpens argumentation, and helps maintain structural coherence across a complex document. This human-in-the-loop approach is not only more effective — it is also fully aligned with Erasmus+ programme integrity requirements.

This talk shares a practical methodology developed through hands-on experience coordinating multiple EU-funded projects, in which AI was systematically applied across the full proposal lifecycle — from needs analysis and partner profiling through to work plan structuring, impact argumentation, and pre-submission quality assurance. The talk covers four stages where AI assistance proves most valuable:
(1) contextual grounding — mapping programme priorities and evaluation criteria;
(2) structural coherence — maintaining logical consistency as proposals grow in complexity;
(3) evidence-based argumentation — grounding claims in verifiable European data and policy frameworks; and
(4) stress-testing — simulating evaluator perspectives before submission.

Designed for project coordinators, institutional research offices, and anyone involved in EU funding at any experience level, attendees will leave with a concrete, actionable workflow — and a realistic picture of where AI genuinely adds value, and where human expertise remains irreplaceable.
