Abstract:

After a long attempt to automate the quality system of the University, this paper presents a summary of the previous stages and finally achieving an automated quality management system based on a collaborative online groupware: Smartsheet.

The present work, is an example of a process of continuous improvement in a quality system, it presents the final stage of automation of a quality management system, which was launched from an excel-based workbook quality management , EWQM; then used a virtual private server (VPS) for compiling the information (but the results processed in Excel); and finally after all providers integrated indicator values, the information was processed automatically in the groupware, Smartsheet, and calculated the Quality and Effectiveness Index (QEI) of academic and service areas.

At present this new system allowed, resolving the main areas of opportunity previous attempts, in the sense that this system allows more complete, accurate and timely suppliers’ information; allows also permanently online academic outcomes directors and authorities with more anticipation and better measure the quality and effectiveness of academic areas and university services, and use the results for better decision-making.

All this to better inform the improvement plans for each area and thus ensure continuous process of institutional improvement.
